luckycloud Business is a public cloud solution and is fully managed within the highly available luckycloud infrastructure. luckycloud pro business builds on the luckycloud Teams Manager, which improves your user management. Additionally, you receive extra access logs that allow you to view and monitor login and file accesses, file changes, changes in access rights, and the number of calls from shared links.

How do I get luckycloud Business?

What distinguishes the luckycloud Organization from luckycloud Storage?

luckycloud Storage forms the basis for luckycloud Organization. Thus, the luckycloud data room has all the functions of luckycloud Storage. For users, there is almost no difference. However, an admin panel is unlocked for the luckycloud administrator, allowing the administrator to better manage and control data traffic and file accesses within their organization. Especially with larger teams, it is difficult to track the activities of many users. In luckycloud Organization, special protocols and admin functions are unlocked for the administrator.

How do I upload data to an organization?

Uploading data works the same way as with luckycloud Storage:

How do I add users?

  1. Please log in with your administrator account of your DataRoom at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Users".
  4. Click on "Add" at the top right.
  5. Now enter the email address of the user to be added and choose a password for the user.
  6. The respective user is created with "Save".

You can now inform the user of their access data and share data with them.

How do I change the access password for my users?

  1. Please log in with your administrator account of your DataRoom at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Users".
  4. There you will see all your users. When you hover over a user, you can click on "Reset Password" to send the user a password link to their email address.

How do I allocate storage space to my users?

  1. Please log in with your administrator account of your DataRoom at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Users".
  4. There you will see all your users. Click on the respective user.
  5. On the left side, you can now "Set Storage Space" for the user.
  6. Enter the corresponding storage space in MB. (Conversion help: 1 GB = 1000 MB)
  7. Complete the process with "Save".

How do I assign user rights?

You set the user rights during the user sharing of directories or folders - just like with luckycloud Storage.

How do I create areas?

  1. Please log in with your administrator account of your DataRoom at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Areas".
  4. Click on "New Area" at the top right and assign a name for the area.
  5. For this area, you can now define a storage space. Hover over the area and click on the pencil.
  6. Enter the storage space in MB and confirm the process with Save.

Organizing Areas

Assigning Members

You can assign members to areas that you have previously created under "Users".

  1. Please log in with your administrator account of your DataRoom at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Areas".
  4. Click on the area you want to subdivide.
  5. With "New Subarea", you can now organize the area into subareas.

Assigning Roles

Once you have added members to a specific area, you can assign them specific roles.

  1. Please log in with your administrator account of your DataRoom at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Areas".
  4. Click on the respective area where you want to assign roles.
  5. There you will see the various members. Hover over the respective member and click on the pencil.
  6. Now select the appropriate role.

Removing Members from Specific Areas

  1. Please log in with your administrator account of your DataRoom at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Areas".
  4. Click on the respective area where you want to assign roles.
  5. There you will see the various members.
  6. Hover over the respective member and click on the trash can to remove the member.

Creating Subareas

You can further divide areas into subareas.

  1. Please log in with your administrator account of your DataRoom at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Areas".
  4. Click on the area you want to subdivide.
  5. With "New Subarea", you can now organize the area into subareas.

Where can I see user activities?

In your admin panel, you can see different activities: link shares, file accesses, file updates, and an overview of user shares.

Link Shares

  1. Please log in with your administrator account of your organization at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Links".

Here you can see all the links that have been created within your organization. Additionally, you can see the path, link owner, creation date, and access numbers. If you want to remove the link, hover over the respective link and click on the "Remove" action on the right.

Logs

  1. Please log in with your administrator account of your organization at https://storage.luckycloud.de.
  2. Click on "Administration" at the top right.
  3. Then go to "Logs".

Here you can track individual file accesses, file updates, and user shares.

File Access History

In the File Accesses, you receive a detailed access history of individual users:

  • Who accessed?
  • Through which access method was accessed?
  • What was the user's IP address?
  • On which day was accessed?
  • Which directory and file were opened?

If you only want to filter the individual accesses of a specific user, hover over the username in the history, click on the down arrow, and select the option "Show only Max Mustermann".

File Updates History

Under File Updates, you will find the version history. Here you can again filter by user or directory by clicking on the down arrow when you hover over the user/directory. If you want to take a closer look at the snapshot, you can click on "Details".

User Rights History

Under Rights, you can track the user shares and rights that have been made within your data room:

  • Who shared something?
  • What was shared?
  • To whom was it shared?
  • What rights were shared?
  • When was it shared?
  • Who changed or deleted user rights?
